Notebird vs Elvanto

Notebird is the better fit for a care team that needs searchable care notes, follow-up tasks with owners, milestone reminders, and a shared activity feed. Elvanto fits if you want one church management system with people records, service planning, check-in, giving, and pastoral notes, priced by active adults from US$19 a month. Notebird imports Elvanto people by CSV, free.

Notebird vs Elvanto at a glance

Bottom line: Notebird is built only for care, so it gives a care team a shared activity feed, a team task list with due dates, milestone reminders, per-person care reports, and full-text search of notes. Elvanto is a full church management system with a real pastoral notes feature: private notes, note categories with permissions, scheduled notes assigned to a user, and People Flows for step-by-step follow-up. Choose Notebird when your care team needs a focused, private care tool and can import people by CSV; choose Elvanto if you want one admin system for the whole church.

Which one should you pick?

Why churches choose Notebird

  • You want follow-up tasks with due dates in a shared open-task list, not scheduled notes spread across profiles.
  • You want reminders for baptisms, anniversaries, and custom life events, not only birthday emails to members.
  • You want a team-wide activity feed and a daily Early Bird email of who needs attention.
  • Your care team needs a dedicated place for care conversations, prayer requests, and visits that stays out of the admin database.
  • You need to search the text of every care note in seconds.
  • You want volunteers to see only the people and groups assigned to them.
  • You want a printable care history for one person or a whole group.

When Elvanto may fit better

  • You want one system for people records, groups, service planning, check-in, and giving instead of separate tools.
  • You already use Tithely Giving and want giving records to flow into your member database.
  • Your worship team needs run sheets, volunteer rosters, and a song database with CCLI SongSelect.
  • You run step-by-step processes (new visitors, baptism prep, volunteer onboarding) and want People Flows to track each step.
  • You want a flat plan priced by active adults where every feature is included, and you do not mind a US$149 setup fee.

"Notebird has been a "game changer" for our ministry! Prior to Notebird, we wrote a weekly synopsis of each congregant our ministry had served and sent it to the ministry team along with assignments for that week. New team members had no long history - and they were quick to point that out. Once we got Notebird, all that changed. Notebird has been part of our ministry for exactly one year and I still hear "Thank heavens we have Notebird!""

"I'd get excited about keeping up with excel and logging everything and then after a week or two that would stop because it wasn't easy. I use Notebird daily and love it!"

Notebird vs Elvanto: common questions

Does Elvanto have pastoral care features?
Yes. Elvanto has People Notes that attach to a profile, can be marked private, and can be limited by note category to chosen Access Permissions. You can schedule a note for a date and assign it to another user, who gets an email. People Flows track step-by-step processes such as new visitor follow-up. It also has pastoral reports and attendance reports.
What is the difference between Notebird and Elvanto?
Elvanto is a church management system: people database, groups, service planning, check-in, giving, and notes in one place. Notebird is pastoral care software only. It focuses on care notes, follow-up tasks, milestone reminders, a team activity feed, care reports, and full-text search. Notebird does not do giving, check-in, or service planning.
Can Notebird sync with Elvanto?
No. Notebird syncs directly with Planning Center, Breeze, and Church Windows only. To use Notebird with Elvanto, export your people from Elvanto and import them into Notebird by CSV. The import is free. Care notes then live in Notebird while Elvanto stays the system of record for members and giving.
Is Notebird cheaper than Elvanto?
It depends on team size and church size. Elvanto starts at US$19 a month for up to 50 active adults plus a US$149 setup fee, and rises with the number of active adults. Notebird charges per user: $12 a month for one user, then $8, $6, and $4 for each added user, with no setup fee. A small care team on Notebird often costs about the same as an Elvanto plan, but the two products do different jobs.
Is Elvanto the same as Tithely Church Management?
No. Elvanto is a separate product that Tithely bought in 2018 and still runs under its own name. Tithely Church Management is the renamed Breeze ChMS. Both are owned by Tithely, but they are different systems with different pricing.
Can I use Elvanto to track pastoral visits?
Yes. You can write a People Note on the person after a visit, give it a category such as Pastoral Care, and mark it private so only the right roles can read it. You can also schedule a follow-up note for a later date and assign it to a team member. Elvanto does not have a team-wide feed of these notes or full-text search inside them.
Does Elvanto have a mobile app?
Yes. Elvanto has iOS and Android apps. Elvanto says the app gives you the same features as the web version, for both admins and members. Notebird works on any phone as a home-screen web app rather than a store app.
Does Elvanto remind me about birthdays and anniversaries?
Elvanto can send automatic birthday and anniversary emails or SMS to members, and you can run a birthday report. Notebird tracks birthdays, anniversaries, baptisms, and custom milestones and reminds your care team, so someone can reach out in person.
