Notebird vs Breeze ChMS

Notebird is the better fit for a care team that needs shared, searchable care notes, follow-up tasks with owners, and milestone reminders. Breeze is the pick if you need one flat-price system for your church database, giving, check-in, events, and email. Many churches use both: Breeze holds the people database and Notebird syncs with it for pastoral care.

Notebird vs Breeze ChMS at a glance

Bottom line: Notebird goes deeper on care than Breeze: shared and searchable notes, restricted notes by role, milestones with reminders, per-person care reports, and a team feed. Breeze is a good, low-cost church management system whose Notes and Follow Ups cover only basic care tracking. Pick Notebird alongside Breeze when a care team needs its own workspace that stays in sync with the church database; pick Breeze alone if care tracking is light and database and giving needs come first.

Which one should you pick?

Why churches choose Notebird

  • You want to keep Breeze as your database and add pastoral care on top. Notebird syncs with Breeze so people records stay in one place.
  • Care notes must be searchable, reportable, and visible to the whole care team, not just the person who wrote them.
  • You need restricted notes controlled by role, with a printable care history per person.
  • You track baptisms, hospital stays, and other custom milestones with reminders, and want a daily Early Bird email of who needs attention.
  • Volunteers and lay ministers should see only the people or groups assigned to them.

When Breeze ChMS may fit better

  • You want one system for the church database, online giving, check-in, events, forms, and unlimited email at a flat monthly price.
  • Your care tracking is light: an occasional note on a profile and a follow-up assigned to a staff member is enough.
  • You have many admins or volunteers and want unlimited users for $72/mo instead of a per-user price.
  • You already run Breeze and do not want staff to learn or log in to a second tool.
  • You need giving reports, attendance, and member data in the same place as your notes.

Notebird vs Breeze ChMS: common questions

Does Breeze have pastoral care features?
Breeze has two features that touch pastoral care: Notes and Follow Ups. Notes are dated text on a person’s profile that can be marked private, and Follow Ups assign a task about a person to a user with a due date. Breeze’s help center says notes cannot be searched or reported on, and there is no team activity feed or per-person care report. For deeper care tracking, Breeze lists Notebird in its Extensions marketplace.
Can Notebird sync with Breeze?
Yes. Notebird is a Breeze extension you install from More > Extensions in Breeze. It syncs profile fields such as name, phone, email, birthday, anniversary, gender, marital status, household, campus, and status. Changes made in Notebird sync into Breeze automatically; changes made in Breeze appear in Notebird after you click Refresh Data in Notebird settings. Care notes and tasks stay in Notebird.
What is the difference between Notebird and Breeze?
Breeze is a church management system: a people database with giving, check-in, events, forms, email, and text. Notebird is pastoral care software: care notes, follow-up tasks, milestones, care reports, and a team activity feed. Notebird does not do giving, check-in, or events, and Breeze does not do searchable, role-restricted care notes. They overlap only on basic notes and follow-ups.
Can I use Breeze to track pastoral visits?
You can. Breeze suggests writing a care call or visit as a Note on the person’s profile, and you can assign a Follow Up if someone needs to reach out. The limits are that notes cannot be searched or reported on, only the author can edit a note, and a private note is visible only to the person who wrote it. If a whole care team needs to see and report on visits, Notebird handles that better.
Is Notebird cheaper than Breeze?
It depends on team size. Breeze is $72 per month flat with unlimited users. Notebird is priced per user, starting at $12 per month for one user with lower rates for each additional user, so a small care team can cost less than Breeze and a large team can cost more. Most churches that use both pay for both, because Breeze is the database and Notebird is the care layer.
Do I need Notebird if I already have Breeze?
Not always. If a note on a profile and an occasional Follow Up covers your care work, Breeze is enough. Churches add Notebird when they want a care team to share and search notes, restrict sensitive notes by role, get reminders for milestones and hospital stays, print a person’s care history, and see one feed of who is caring for whom. The Breeze extension keeps your people list in sync so you do not manage two databases.
Are notes in Breeze private?
Partly. Any user with the People > Notes permission can view notes on a profile. Checking "Mark as Private" hides a note from everyone except its author. Breeze warns that private notes still export to Excel for anyone with export rights, and it recommends custom profile fields plus role permissions if you need notes that some roles can see and others cannot.
Does Breeze have a mobile app?
Yes. Breeze has iOS and Android apps that mirror your desktop permissions and cover people, tags, events, giving, and global search. A few admin actions, such as editing forms or profile fields and restoring archived people, are only available in a web browser on iOS. Notebird works on any phone as a home-screen web app rather than a store app.
